Weekly Calendar Emailing

Audience: Church members and others who are part of our church community

Purpose: Issued weekly to provide timely and responsive information on church activities
A calendar listing of worship services (including sermon titles and greeters, if available), meetings, classes, and other church-supported events and activities.

List activities beyond the upcoming week where it would be useful for people to know in advance.

Provide links for additional information

“What’s Happening” emailing

Communication Committee, Kathy Haug, Pastor, Church Administrator)


(Note: When possible, a paper copy is available for people to pick up or to be mailed upon request.)
Audience: Church members and others who are part of our church community

Purpose: Provide more in-depth information on events, board and committee activities, and other “happenings” (such as the pastoral selection process) associated with the church
More in-depth information to keep the congregation informed.

This includes information about upcoming events and initiatives (such as opportunities to fill in surveys or sign petitions) that are consistent with our mission and submitted by church members. These may be church-sponsored activities, or activities sponsored by others that church members/friends may be interested in. Inclusion of non-church items depends on time available to incorporate them.

If an item is submitted by a non-member, the Board of Administration will make the decision on whether it will be included.

Documents such as minutes of board meetings or other similar lengthy files will be uploaded elsewhere and hot-linked, rather than including their entire text in the emailing.

Newsletter Audience: Church members and others who are part of our church community

Purpose: Provide communication between key staff and the congregation, as well as communication within the church community
Note: This will be postponed until we have a Called Pastor, and whether it is needed will be revisited at that time. For now, refer to “What’s Happening.”

Monthly essays by the pastor and others, poetry, and other “food for thought” items submitted by members and staff.

Published by a newsletter committee.

Special Emailings

Audience: Church members and others who are part of our church community

Purpose: Communicate matters of particular urgency or importance
These will include:
 • Emailings from BoB or cleared through BoB
 • Transitions in members’ lives from Called to Care, cleared by pastoral staff
 • Notifications of member deaths, cleared by pastoral staff
Special emailings should be infrequent so they aren’t viewed as routine and to avoid filling email inboxes.

Sunday Bulletin & Announcements

Audience: Church attendees

Purpose: Provide information on what will happen during a worship service.

Provide notices and reminders to help ensure that people who may not have seen the emailings are informed.
Brief announcements, reflecting the most significant and timely material in the weekly calendar and “What’s Happening.”

Generally no more than 2-3 sentences for each announcement.

Only announcements of the greatest significance will be made orally on Sunday mornings.

A given announcement should not be repeated for more than a month. At the end of one month, whether it should continue to be repeated will be revisited.

A death should not be announced in the Announcements, but rather during prayer time. Consider a Special Emailing.

Website

Audience: Church members, prospective members, others who seek the type of spirituality that we offer

Purpose: Provide information about the church and its programs that will help members participate and be informed; provide information to those seeking the type of spirituality that we offer, including potential prospective members as well as those living at a distance from us.
 • Current calendar of upcoming events. These may be SUCC-sponsored or events sponsored by others that SUCC members/friends may be interested in. Inclusion of non-SUCC items depends upon time available to incorporate them.
 • Essays, videos, audio recordings, and other content to support spiritual growth
 • Directory of members and others in our church community
 • Information on our programs, mission, beliefs, history, location
 • Information on our organization, including boards and constitution
 • Minutes of semi-annual meetings and BoB meetings
 • Links to UCC and others that are particularly relevant to our programs and beliefs
 • Online donation opportunities

Audience: Church members and others who are part of our church community

Individuals in the general public who may be seeking the type of spirituality that we offer
 • Announcements of upcoming SUCC-sponsored events that conveys welcoming, lively, positive energy
 • Titles of upcoming sermons
 • Hot-link to the “What’s Happening”

Bulletin Boards

Audience: Those who use the church building

Purpose: A quick view of concise information
 • Church calendar
 • Flyers of upcoming events, including SUCC-sponsored events and, depending on availability of space, events sponsored by others that are consistent with the SUCC mission
 • Pastor’s schedule
 • Pictures of board members

Reader Board

(Contact:
Pastor)
Audience: Passers-by, and those who use the church building

Purpose: A quick view of upcoming events.
Top priority is given to sermon titles.

Include the event name, day, time, and (space-permitting) the name of the presenter.

Events should generally be occurring within 10 days.
